A Clear Record From Supplier Cost to Customer Order

Sourcing decisions change as suppliers, quantities, prices and terms are refined. We keep the important versions and business steps distinguishable instead of overwriting the history.

Before You Approve

  • Supplier quotations and cost versions can be kept separately from the price quoted to you.
  • Your customer quotation identifies the products, quantities, currency, selling prices and applicable terms for that version.
  • If the commercial terms change, a new quotation version can be created without rewriting the earlier version.
  • For quotations that use online confirmation, the confirmation is tied to the specific version you are reviewing.

After You Approve

  • An accepted quotation provides the commercial basis for creating the formal customer order; acceptance does not silently rewrite the quote itself.
  • The order keeps a snapshot of the accepted products, quantities, prices, terms and underlying cost references.
  • Supplier purchase orders, payments, production, quality checks and shipment records can then be managed against the order.
  • If something later changes or goes wrong, the relevant business history remains available for follow-up instead of being replaced by the latest value.

Frequently Asked Questions

01Can I use both service plans at the same time?

Yes. One project can use both service models. Products purchased from suppliers sourced by us are handled under Full-Service Sourcing with no separate service fee. Products purchased from suppliers you provide are handled under Supplier Management and are charged at 5% of the applicable product value, subject to the USD 200 minimum service fee per order.

02How is the 5% Supplier Management fee calculated?

The service fee is 5% of the product value handled under Supplier Management. If one order includes several suppliers you provide, the fee is based on the combined applicable product value. If 5% is below USD 200, the minimum service fee is USD 200 for that order.

03Does Full-Service Sourcing really have a 0% separate service fee?

Yes. When we source the supplier for you, our sourcing and management work is included in the product quotation we provide. There is no separate sourcing service fee added on top of that quote. The quotation you receive is the customer selling price for the applicable version; it is not presented as a supplier cost pass-through.

04What are the standard payment terms?

Standard product orders are generally paid with a 30% deposit and the remaining 70% before shipment. For customized products, tooling, or projects with special production requirements, the payment schedule may vary and will be confirmed in the quotation or order confirmation.

05When is the Supplier Management service fee paid?

The Supplier Management service fee is paid in full together with the initial product payment for the applicable order. Freight and other applicable logistics costs are paid separately when the goods are ready for shipment and the shipping cost can be confirmed.

06What costs are paid separately?

Product and sample costs, tooling or molds, special inspection or testing, inland and international freight, duties, taxes, and other order-specific third-party costs are paid separately unless they are explicitly included in the quotation.

07What happens if there is a quality problem?

Eligible orders can receive a general inspection at our warehouse following General Inspection Level II / AQL 2.5. If a problem is found, the findings can be documented and followed through corrective action or rework and, where needed, a separate reinspection. For suppliers sourced and managed by us, quality follow-up is included in our service. For suppliers you provide, we can still coordinate with the supplier to help resolve the issue.

08What happens if quantity, price, or terms change after a quotation is issued?

Material commercial changes should be reflected in a new quotation version rather than overwriting the version already sent or accepted. This keeps the earlier price and terms traceable and makes it clear which version forms the basis of the order.
